Let's see several tips on telephone communication.
1. Think through exactly what you plan to say and discuss before you place a call.
2. Answer thephone within 2 or 3 rings if you are receiveing a call and great the caller by their professional tittle. (If you are waking the call, identify yourself). Always identiy yurself at the begining starting the conversation.
3. Do not eat while talking on the phone. One of the most impolite things you can do while speaking on the phone is eating, drinking, or chewing gum. Telephone receivers amplify chewing sounds, and it is impolite to make the other caller listen to these sounds. If you have lunch planned and are on the phone, either wait for the telephone conversation to finish, or ask the other caller if you may call them back after you eat
4. Don't be distracted by other activities while speaking on the telephone. If you must interrupt the conversation, say to the person: "Excuse me for a moment, please. I'll be right back", and when you are return say: "Thank you for holding".
5. About your tone of voice / speak / language:
- Always speak directly into the phone's mouthpiece.
- Speak in your normal tone of voice.
- You musn't sound overly anxious, agressive or pushy.
- Your tone must be authority and confidence.
- You must speak clearly and slowly and use professional language.
6. If you have bad service, ask to call the person back. Having to struggle through bad reception can be impolite to the other person, especially if you have to stay in the bad service for some time.
7. Be patient and as helpful as possible. There are times when business calls can become slightly tense, and staying patient is important for proper telephone etiquette. If the caller is upset about a specific problem, listen to them carefully and decide the best way to help fit their needs.
8. Leaving messages:
- If the person you are contacting doesn't answer, leave a concise vocemail message and always leave your number phone in a part of your message.
- If you are taking a message for someone else, it's important to politely aks for the other person's name, phone number and reason for calling.
9. At the end of a call, say "Thankyou" and "Goodbye". For example: "Thaks for your calling, have a great day". It will be clear to both of you that the phone conversation has ended.
